A website and a business app can look similar on screen, but they usually solve different problems.
A public website helps people discover, understand and contact a business. A Power App is often designed around a workflow: recording information, managing approvals, checking progress, updating records or giving a team a faster way to complete a repeated task.
Choose a website when the main goal is communication
A website is normally the right starting point when you need to:
- Explain services
- Generate enquiries
- Show portfolio work
- Publish articles
- Sell products
- Rank in search engines
- Build public trust
Public websites are designed for broad access. Visitors should not need a company account or special permissions just to understand the business.
Choose a Power App when the main goal is a workflow
A Power App can be a strong fit when staff or authorised users need to:
- Complete forms in the field
- Record inspections
- Manage jobs or cases
- Approve requests
- View dashboards
- Update shared data
- Automate repeat processes
Microsoft’s guidance emphasises intentionally responsive layouts so canvas apps adapt across phones, tablets and browser windows rather than simply scaling a fixed screen. See Microsoft’s responsive Power Apps guidance.
When a Power App can look like a website
Internal tools do not have to look like default business software. A responsive Power App can use a branded interface, clear navigation and consistent components so it feels familiar to the people using it.
The design still needs to respect the platform. A Power App should not imitate a marketing website if that makes common tasks slower. The visual system should support the workflow.
When you need both
Many businesses need a public website and a private app.
For example:
- A construction company uses the website for enquiries and a Power App for site inspections.
- A training provider uses the website to explain courses and an app to track attendance.
- A service company uses the website for bookings and an app for engineers to update job status.
- A club uses the website for public information and an app for registers, payments and progression.
The two systems can share brand language without being the same product.
Questions to ask before choosing
Who will use it?
Public customers, employees, managers, suppliers or a mixture?
Does it need to rank in Google?
Public marketing content belongs on an indexable website. Private workflow screens do not.
What data does it need?
Consider SharePoint, Dataverse, Microsoft 365, existing spreadsheets, CRM data and external APIs.
What happens when the process changes?
The system should be structured so fields, stages and permissions can evolve without redesigning everything.
Does it need offline access?
Field work may need an approach that accounts for poor connectivity and later synchronisation.
Cost and scope
App projects vary widely. A focused internal tool with a few screens and a single data source is different from a multi-role system with automation, dashboards, approvals and integrations.
James Woolford Design’s App Design service starts from the same point as an e-commerce website, with the final price based on workflows, data, permissions and integrations.
What a good app design brief includes
- The problem being solved
- Current process
- User roles
- Required screens
- Data sources
- Automations
- Permissions
- Devices
- Success measures
Do not begin with a list of colours and buttons. Begin with the job the app needs to make easier.
Frequently asked questions
Can a Power App be used on mobile and desktop?
Yes, when it is designed responsively. Layout decisions should be tested across the actual devices and window sizes the team will use.
Can customers use a Power App?
It depends on identity, licensing, access and the nature of the experience. Public customer experiences may be better served by a website or Power Pages.
Can an existing spreadsheet become an app?
Often, but the process should be reviewed first. Recreating a poor spreadsheet process in a prettier interface does not solve the underlying problem.
